This privacy and security policy (“this policy”) outlines PRoComm’s practices and commitment to the customer in this regard.
Online privacy is a constantly evolving landscape and PRoComm plans to take all reasonable efforts to maintain up to date and effective online privacy standards and practices. PROTECTING YOUR PERSONAL INFORMATION
What is customer information?
Personal information refers to personal and private information submitted to PRoComm via the website that identifies or relates to a customer, supplier, or other business partners, whether they are individuals or businesses. This information includes details such as name, age, ID numbers, registration numbers, addresses and other contact details, liabilities, income and payments records, financial information and banking details such as account numbers.
The type of customer information the customer will be asked to provide will vary according to the product or services required.
We at PRoComm, and our affiliated partners are committed to respecting your online privacy and recognize your need for appropriate protection and management of any personally identifiable information you share with us.
PRoComm has established this Online Privacy Policy so that you can understand the care with which we intend to treat your Personal Information.
Why does PRoComm collect customer information?
PRoComm uses personal information to identify the customer, supplier, or other business partner and to offer better online service. Personal information is also necessary to enable PRoComm to contact the customer, supplier, or other business partners in the event of any query.
PRoComm further uses personal information to bring to the customer’s attention details of PRoComm’s services and products. The more we know about you the better we can serve you.
How does PRoComm safeguard your information?
Keeping your financial information secure is one of PRoComm’s most important responsibilities. This policy governs the behaviour of employees with regard to accuracy, confidentiality and security of all personal information.
Our commitment to you, our customer
PRoComm does not and will not sell or provide personal client information to third parties for independent use.
PRoComm strives to comply with all applicable laws around the globe that are designed to protect your privacy. Although legal requirements may vary from country to country, PRoComm intends to adhere to the principles set forth in this policy even if, in connection with the above, we transfer your personal information from your country to countries that may not require an “adequate” level of protection for your personal information.
In other words, our goal is to provide protection for your personal information no matter where that personal information is collected, transferred or retained.
Where PRoComm collects Personal Information on the web, we intend to post a purpose statement that explains why personal information will be collected and whether we plan to share such personal information outside of PRoComm or those working on PRoComm’s behalf. The choice to provide PRoComm with certain customer information via the website is always the customer’s. If you choose not to provide the personal information we request, you can still use most of PRoComm’s website. If you chose to have a relationship with PRoComm, such as a contractual or other business relationship or partnership, we will naturally continue to contact you in connection with that business relationship.

Wherever your personal information may be held within PRoComm or on its behalf, we intend to take reasonable and appropriate steps to protect the personal information that you share with us from unauthorized access or disclosure.
Access/Accuracy
To the extent that you do provide us with personal information, PRoComm wishes to maintain accurate personal information. Where we collect personal information from you on the Web, our goal is to provide a means of contacting PRoComm should you need to update or correct that information. If for any reason those means are unavailable or inaccessible, you may send updates and corrections about your personal information to renay@procomm.co.za and we will make reasonable efforts to incorporate the changes in your personal information that we hold as soon as practicable.
Sharing customer information responsibly
The only instances in which PRoComm is permitted to disclose customer information is when it is:
Authorised by the customer
PRoComm will not collect or use customer information without obtaining the customer’s consent. In respect of marketing of services or products, consent to collect or use information can be expressed (for example signing an agreement) or implied (e.g., if the customer is given an opportunity to opt out of a specific form of information sharing, but chooses not to do so, it implies that the customer chooses to share this information).
Necessary to provide efficient and effective service
Third parties provide certain services on PRoComm’s behalf. PRoComm may provide information, including personal information, to third-party service providers to help us deliver programs, products, information, and services. (Also refer to the section titled “Third parties” in this document.)
Required by law
This most often relates to a court order or if required in terms of legislation or in accordance with the common law. PRoComm will, however, in all instances required by law, only disclose the information specifically requested.
Necessary to protect PRoComm’s interest
This will not be used as a reason for disclosing information about a customer or a customer’s accounts (including name and address) to anyone else, including other companies affiliated with PRoComm. However, basic procedures that protect PRoComm’s interests sometimes lead to the disclosure of specific customer information to third parties.
In the public interest
Sometimes PRoComm may be asked to disclose customer information for matters of public interest, e.g., to assist in the prevention of crimes. Before complying with these requests, PRoComm shall take every precaution to ensure the authorities involved have legitimate grounds to make such a request.
Credit reference agencies
Information about a customer’s personal debt owed to PRoComm may be disclosed to credit reference agencies, where the customer has fallen behind with payments and has not made proposals satisfactory to PRoComm for repayment of debt following formal demand or where the customer has given PRoComm written consent or where the customer has a cheque referred to drawer, the information is placed on a cheque verification service.
Cookies and other tracking technologies
Some of our Web pages utilize cookies and other tracking technologies. Cookie technology consists of small pieces of data or a small text file which is given to the customer’s browser by PRoComm’s webserver when the customer visits the PRoComm website. This data is stored on the customer’s browser. The cookie is sent back to the PRoComm webserver each time the customer visits the PRoComm website.
Some cookies and other technologies may serve to recall personal information previously indicated by a Web user. Most browsers allow you to control cookies, including whether or not to accept them and how to remove them. Cookies are not computer programs and do not run on a computer like programs do. It cannot gather information or function independently. It cannot collect any personal information about the customer or the customer’s machine and cannot gather data or information about what the customer does on the Internet. Cookies merely enable PRoComm to provide a more valuable online experience to the customer.
You may set most browsers to notify you if you receive a cookie, or you may choose to block cookies with your browser. However, PRoComm does not recommend that the customer does this since some parts of this website and PRoComm’s online services are cookie enabled. PRoComm cannot be held liable for a customer’s personalised information changing or being deleted as a result of the customer’s disablement or deletion of cookies.
If you choose to erase or block your cookies, you will need to re-enter some information to gain access to certain parts of the website.
Tracking technologies may record information such as Internet domain and host names; Internet protocol (IP) addresses; browser software and operating system types; clickstream patterns; and dates and times that our site is accessed.
Our use of cookies and other tracking technologies allows us to improve our Website and your Web experience. We may also analyze information that does not contain Personal Information for trends and statistics.
E-mail communication
PRoComm may use customer information to send the customer information on new services or products that may be of interest to the customer and from time to time will email, e-mail or SMS information to the customer about PRoComm or on PRoComm products and services. You as PRoComm’s customer, supplier or another business partner will have the option to indicate you do not want to receive such specific product communications in future, at time of receipt of the communication.
Remember, regular non-encrypted e-mail is not secure. For this reason, PRoComm will not include confidential personal information in an e-mail response.
PRoComm will further never request the customer, via the use of e-mail, to provide us with personal information, such as your username or password.
Third parties
Third parties may also play an important role in the maintenance of PRoComm’s web site and mailing lists. PRoComm will take reasonable steps to ensure that these third-party service providers are obligated to protect personal information on PRoComm’s behalf.
PRoComm does not intend to transfer personal information without your consent to third parties who are not bound to act on PRoComm’s behalf. Except as outlined in the section dealing with “Sharing Customer Information”, PRoComm will never sell or otherwise make available customer information to other organisations or parties.
Contribute to the protection of your privacy
Our clients, suppliers and other business partners can also help protect their online privacy by:
○ not sharing the partner IDs or password with anyone;
○ changing your password regularly;
○ remembering to sign off after you logged in on the PRoComm website;
○ not leaving your computer unattended while conducting online transactions;
○ helping PRoComm maintain accurate records by letting us know when changes occur in your situation so that we can update its records accordingly;
○ not sending any confidential information via non-encrypted e-mail;
○ not supplying your personal information to any site you do not know or trust.
Privacy statements applying to specific online services
Different online services, PRoComm business units or subsidiaries may have their own privacy policies because the nature of the service or products demands a deviation from this policy. These specific policies will apply to, and exclusively govern, the customer’s use of the particular online service or product.
Right to amend this privacy statement
PRoComm reserves the right to amend this policy at any time. All amendments to this policy will be posted on the website. Unless otherwise stated, the current version shall supersede and replace all previous versions of this policy.
